Terms of Service

MaintainFlow is a web-based CMMS for managing maintenance work — work orders, preventive maintenance, parts, assets, and reliability reporting. We may improve or change features over time; we'll avoid breaking changes where we reasonably can.

• You’re responsible for your account, for keeping your credentials secure, and for the people you invite to your workspace.
• You’re responsible for the accuracy of the data you enter.
• You must be authorized to act on behalf of your company.

You agree not to:

• Use the service for anything unlawful, or to store unlawful content.
• Attempt to break, overload, reverse-engineer, or gain unauthorized access to the service or other companies’ data.
• Resell or sublicense the service without our permission.

You own the data you put into MaintainFlow. You grant us the limited permission needed to host and process it so we can provide the service to you. We don't sell it or use your maintenance records to train AI models. See Data Ownership and the Privacy Policy.

• Every account starts with a 30-day free trial — no credit card required.
• After the trial, pricing is per seat, per month: $15 for each full-access user (Owner, Admin, Manager), $10 for each Technician, and free for Requesters and Viewers.
• Subscriptions are billed monthly. You can cancel anytime and keep access until the end of the current billing period.
• If a payment fails or the trial lapses, your workspace becomes read-only — your data stays viewable and exportable — until billing is resolved. Nothing is deleted for non-payment.

We work to keep MaintainFlow available and reliable, but we don't guarantee uninterrupted service. We may perform maintenance or updates that briefly affect availability.

The service is provided “as is,” without warranties of any kind to the extent permitted by law. To the maximum extent permitted by law, our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim. We're not liable for indirect or consequential damages.

You can stop using the service and cancel at any time. We may suspend or terminate access for a serious or repeated breach of these terms. On termination you'll have a reasonable window to export your data — see Data Ownership.

These terms are governed by the laws of the Province of Ontario, Canada, and the federal laws of Canada that apply there, without regard to conflict-of-laws rules.
